KEY RESPONSIBILITIES
- Calendar & Time Stewardship
Own the CEO’s calendar end-to-end — prioritize competing requests, protect focus blocks, sequence internal reviews around external commitments, and resolve conflicts proactively rather than reactively. Ensure the CEO enters every day fully prepared: confirmed schedule, pre-read materials, and logistics (travel, venues, video links) locked 24–48 hours in advance. - External Stakeholder Scheduling
Set and manage appointments with clients, bankers, lenders, investors, advisors, government officials and Board members, liaising seamlessly with counterpart offices. Maintain an accurate forward calendar of Board meetings, investor reviews, lender discussions and key client engagements. - Visitor & Meeting Intelligence
Prepare and circulate concise people/company profiles ahead of every external meeting — visitor and company snapshot, attendee bios, history of prior interactions with Sunsure, meeting objective and suggested talking points ensuring the CEO enters every engagement fully briefed. - Action Tracking & Follow-Through
Capture decisions and action items from CEO discussions and reviews; maintain a live action register with owners and due dates; follow up with stakeholders to closure; publish a weekly open-items summary to the CEO. Take minutes where required. - Media & Public Engagements
Coordinate the CEO’s media interactions in conjunction with the Marketing/Communications team — schedule interviews, press briefings and conference appearances; prepare journalist/publication profiles and briefing notes; track commitments made to media; and manage post-event follow-ups. Ensure all media requests are logged, vetted and routed appropriately. - Communication Interface
Act as the communication interface on the CEO’s behalf — draft and manage correspondence, screen inbound requests for his time, and represent his office with internal and external stakeholders with professionalism and warmth. - Confidentiality & Discretion
Handle Board, investor, M&A, personnel and commercial information with absolute discretion; deal-related and personnel matters remain strictly within the Founder’s Office.

- Eye for Detail
Meticulous attention to detail across calendars, documents and logistics; runs a heavy, fast-changing workload without letting items slip; zero-defect standard on anything that reaches the CEO’s desk. - Tech Savvy
Advanced proficiency in Outlook, Teams, PowerPoint and Excel; adept at using AI assistants (with sound judgement of when to NOT use them) and productivity tools to prepare briefs, trackers and summaries; able to build and maintain simple trackers and dashboards for action items and schedules. - Interpersonal Skills & Judgment
Executive presence and gatekeeping judgment — knows when to protect the CEO’s time and when to escalate; builds effortless working relationships with HODs, the Founder’s Office, counterpart EAs and external front offices. - Impactful Communicator
Impeccable spoken and written English; drafts business-grade emails and briefs independently; interacts confidently with bankers, investors, media and CXOs; demonstrates maturity and composure in sensitive situations. - Confidentiality
Proven track record of handling highly confidential information with complete discretion.
