This privacy policy (“Privacy Policy”) is published in accordance with the provisions of the Digital Personal Data Protection Act, 2023 (DPDP Act) and other applicable Indian laws.
The FieldEye Application (“App”) is owned and operated by Sunsure Energy Private Limited, a company incorporated under the Companies Act, 1956, and established in India (hereinafter referred to as “Sunsure,” “we,” “us,” or “our”). We recognize our obligations as a data fiduciary under the DPDP Act and are committed to ensure that the collection, processing, storage, and disclosure of all personal data and information are carried out in a lawful, transparent and fair manner.
This App has been developed exclusively for internal use by Sunsure’s employees, authorized personnel, representatives and affiliates, for the purpose of digitizing the Reporting Management System (RMS) in relation to daily site activities and enhancing the safety, efficiency, and accuracy of project reporting across all Sunsure project sites.
Any reference to “you” or “your” in this Privacy Policy refers to an employee, contractor, or authorized user of the App who accesses, uses, or interacts with the App for the purposes described above (collectively referred to as “User”). The App is not intended for use by the general public, but solely for authorized Users performing their roles within the company or its project sites.
The purpose of this Privacy Policy is to supply you with the required information regarding the collection, use, storage, and protection of personal data, and to explain your rights under the DPDP Act, including access, correction, deletion, and withdrawal of consent. We respect and value your privacy and will only collect and use personal data in the manner and for the purposes described in this Privacy Policy and that is consistent with our obligations and your rights under the applicable legislation and regulations.
Please read this Privacy Policy carefully. By downloading the App, you acknowledge and consent to our collection, storage, and processing of your personal data as set out in this Privacy Policy as may be modified by us from time to time, and you understand that such collection, storage and handling is lawful, necessary and permissible under applicable laws.
1. Collection of Information
Our Privacy Policy contains provisions regarding collection, storage and handling of personal information and non-personal information that you share on the App. These could include mandatory or voluntary disclosures that you make while and for using the App. Personal information means any data that can be used to identify or contact a single person (“Personal Information”). Your Personal Information for the purposes of this Privacy Policy includes but is not limited to your name, address, telephone number, date of birth, e-mail address, etc, provided by you whilst using the App. We collect and process only such Personal Information as is necessary for the purposes identified, in accordance with the principles of purpose limitation and data minimization under the DPDP Act. By accessing and using the App and creating an account with us, you acknowledge that Sunsure may collect and process your Personal Information in accordance with this Privacy Policy. The information we collect from you can be categorized as follows:
- Identification details: Name, date of birth, official email address, mobile number, and organization name.
- Employment and Project-Related Information: Designation, project site details, work role, supervisor or reporting line, associated department, Log-in credentials, timestamps, approvals, workflow actions, and other data necessary for documenting and tracking site operations.
- Media and Document Uploads: Site photos, inspection documents, permits, and other digital files that you upload or capture through the App. These are stored on secure company servers and associated with your User ID for traceability and audit purposes.
- Device and Technical Information: Device type, IP address, operating system, and application version may be automatically collected for security, compatibility, and troubleshooting purposes.
Collectively all information collected by us including Identification details, Employment and Project-Related Information, Media and Document Uploads and Device and Technical Information are referred to as “Information Gathered”. Certain data fields are mandatory to enable proper functioning of the App and compliance with our internal reporting, safety, and quality standards while others may be voluntarily provided by the User. Personal Information may be collected (i) through direct input by you when registering or submitting data through the App; (ii) through automatically generated records of your interactions, submissions, and approvals; and (iii) through uploads of documents or images during App activities.
2. How We Use and Share Information
We are sensitive towards your information and shall use the Information Gathered strictly for legitimate business, administrative and compliance purposes connected with our operations and your role within the organization. Key uses include:
- Operational Enablement:
- To register and authenticate Users on the App and manage User access;
- To enable the structured creation, submission, review, and approval of digital records within the App’s modules thereby ensuring timely communication, traceability, and compliance with internal operational standards;
- To enable communication and coordination between project personnel, management and supervisory teams.
- Monitoring and Compliance:
- To record and monitor activities and workflow progress for audit, quality, and safety purposes;
- To ensure compliance with internal policies, project documentation standards, and applicable legal or regulatory obligations;
- (To maintain an accurate log of actions and approvals for traceability and accountability
Further, the Information Gathered may be used by us to:
- sending you password reminder and registration confirmation;
- to improve App functionality and User experience;
- to process and respond to User initiated queries, feedback, or complaints;
- investigate any suspected breach of the.
- to undertake checks such as identification verification checks, fraud prevention, or crime prevention checks to comply with applicable laws;
- to help protect your information and prevent unauthorized access to it;
The App is strictly for internal use and your Personal Information will not be used for marketing or promotional purposes. You may review or update your data at any time within the App. Optional information may be withdrawn by contacting Sunsure’s IT department/ designated data protection officer (DPO) at ciso@sunsure.in. Upon such request, access to the App may be suspended or discontinued, as certain data is essential to its functioning. Please note that we may continue to retain specific records, logs, or documents including your Personal Information where such retention is required under applicable law, internal policy, or for legitimate business purposes such as audit, compliance, or dispute resolution.
3. Disclosure of Information
We respect your privacy and do not share your personal information for commercial purposes. Information Gathered may be disclosed in the following circumstances:
- We reserve the right to disclose the “Information Gathered” if required by any applicable law, regulation, government, regulatory or other authority, agency or officer or to protect the safety or security of our Users.
- We may pass the Information Gathered to other third parties in the following scenarios:
- to our internal departments, affiliates, advisors, employees, and authorized contractors for operational and administrative purposes;
- to law enforcement agencies for prevention of fraud, money laundering, terrorism and other crimes. Also, we may disclose the Personal Information to the police, regulatory bodies or legal advisers in connection with any alleged criminal offence or suspected breach of this Privacy Policy and or the breach of other terms and conditions otherwise relating to you or otherwise where required by law and we will co-operate with any law enforcement authorities or court order requesting or directing us to disclose the identity of or locate anyone breaching this Privacy Policy or otherwise for the prevention or detection of crime or the apprehension or prosecution of offenders;
- to third-party organizations engaged by us to perform tasks on our behalf;
- for compliance with an audit on our business;
- in case of a merger, acquisition, or corporate reorganization, with the resulting entity subject to equivalent obligations;
- If we use third party processors to administer and process your Personal Information for the purposes notified in the Privacy Policy;
- to obtain advice from third parties such as auditors or legal advisors;
In addition to the above, disclosures may also be made if it was clearly stated at the time of registration and, where required, with explicit permission from Users. Generally, we will disclose only the information we consider reasonably necessary to disclose. - We may share the Information Gathered with group companies or service providers outside India. Where we do so, we will ensure that we do this in accordance with the DPDP Act as well as other applicable laws and take appropriate measures to ensure that the level of protection which applies to the Information Gathered being processed in these countries is similar to that which applies within India.
4. Duration of storage of your Business Information
We retain the Information Gathered only for as long as it is necessary to comply with legal, regulatory, and contractual obligations, or meet our legitimate business needs. The duration of retention will depend on:
- the nature of the data collected;
- the purpose for which it was collected; and
- applicable internal policies and statutory requirements.
Records such as project related submissions, site photographs, permits, and workflow logs may be retained for longer periods to support audit trails, quality assurance, safety compliance, and internal reporting obligations. Once the retention period expires, or where any collected data is no longer required, we shall securely delete, anonymize, or archive such information in accordance with our data retention policy and applicable laws.
5. Hyperlinks to Other Websites
- The App is primarily an internal system. However, it may where necessary, include hyperlinks to Sunsure’s corporate platforms, approved vendor portals, or other third party sites (“Linked Sites”) used for project, administrative or operational purposes.
- You are assumed to read such relevant sites’ privacy policies, terms of use and/or terms and conditions before using such Linked Sites and shall be solely liable for any loss incurred by you due to your access and/or use of such Linked Sites. Sunsure has no control over such Linked Sites and we shall in no manner be responsible and/or liable to anyone for such web sites, or their content, products or services.
- We clarify that the Linked Sites are operated by third parties and are not under our control and have no affiliation or association with us unless specifically expressed. We are not responsible for any form of transmission, material received from any Linked Site. We are not liable and do not represent anything regarding the privacy practices and policies adopted by the Linked Sites and their owners/ operators. Also, we are not in a position to control or guarantee the accuracy, integrity, or quality of the information, data, text, software, music, sound, photographs, graphics, videos, messages or other relevant materials available on the Linked Sites.
- Providing the Linked Sites does not imply or convey any endorsement by us in any manner or of the contents of the Linked Site. You are aware that the information you provide on the Linked Sites shall be governed by policies of the Linked Sites which you view. We do not have power or authority to prevent misuse of your information through the Linked Sites or advertisers.
- Linked Sites and advertisers may use technology to send advertisements directly to your browser because of which the Linked Sites or advertisers automatically receive your internet protocol address. They may use cookies, java script, web beacons and other technologies to measure the effectiveness of their advertisements and to personalize advertising content. We have no access or control over cookies or other features of the Linked Sites or advertisers and are not governed by this Privacy Policy.

7. Data Security
- We take measures to protect personal data against unauthorized access, alteration, disclosure, or destruction consistent with the DPDP Act.
- We strive to ensure the security, integrity, protection and privacy of your Information Gathered against unauthorized access or unauthorized alteration, disclosure or destruction. We follow stringent security techniques and requirements for handling sensitive and Personal Information. These techniques and requirements are fully compliant with the guidelines set forth under law. Our servers are accessible only to authorized personnel. Your information logged under this Privacy Policy is shared with respective personnel only on need to know basis and for the purpose as provided under this Privacy Policy. All representatives handling information under these provisions are under contractual confidentiality obligation with us. While, we take every step to safeguard the confidentiality of your Personal Information, by using the App, you agree and confirm that we are not liable for any disclosure due to errors in transmission or unauthorized acts of third parties or Linked Sites.
- Notwithstanding the foregoing, you must keep account details, including your username and password (“Account Information”) confidential at all times, and should not reveal the same to any third parties. You must take appropriate security measures to prevent unauthorized disclosure of your Account Information (including logging out from your account at the end of each session), and you must notify us immediately if your Account Information becomes known to any unauthorized user. You are solely responsible for maintaining the confidentiality of your Account Information, and all activities that occur under your account(s). Any breach of this Privacy Policy by anyone to whom you disclose your account details, including your username and password will be treated as if the breach had been committed by you, and will not relieve you of your obligations under this Privacy Policy and Sunsure shall have no liability in this regard.
- Notwithstanding anything contained herein, we shall not be liable for any loss, damage or misuse of your Personal Information due to a force majeure event. A force majeure event for the purposes of this Privacy Policy shall mean any event that is beyond our reasonable control and shall include, without limitation, sabotage, fire, flood, explosion, acts of God, civil commotion, strikes or industrial action of any kind, riots, insurrection, war, acts of government, computer hacking, unauthorised access to computer data and storage device, computer viruses, breach of security and encryption or any other cause beyond our control.

By accessing and using the App you are deemed to have agreed to the terms of this Privacy Policy. This Privacy Policy shall at all times be read with other policies of the App. This Privacy Policy applies to all information including the Information Gathered, Personal Information and Account Information.

We may change this Privacy Policy from time to time and will post the latest version on the App. You are expected to keep reading this Privacy Policy along with all related policies at regular intervals to keep yourself updated.
We reserve the right in our sole discretion, to change, modify, add or delete portions of this Privacy Policy at any time, provided that Users will be informed of any material changes affecting how their personal data is handled. Your continued use of App will signify and constitute your consent to and acceptance of the revised terms of this Privacy Policy or any modifications. We will not file or store a copy of these terms for each interaction or transaction undertaken by you via the App. We therefore recommend that you save a copy of this Privacy Policy for future reference and ensure that such copies can be reliably verified as being effective (i.e. published on the App) on a particular date. 10. Jurisdiction and Governing Law
Any matter concerning inter alia collection, storage and handling of Personal Information will be governed by this Privacy Policy, and by the laws of India and courts of New Delhi, India shall have the exclusive jurisdiction.
